Bulk Assignment

Assigning to a Team

  1. Open a work order or issue
  2. Click Assign
  3. Select Assign to Team
  4. Choose the target team
  5. All team members receive notifications

Multiple Items

  1. Select multiple work orders or issues from the list
  2. Click Bulk Assign
  3. Choose a team or individual
  4. All selected items are assigned at once

Round-Robin Notifications

When a task is assigned to a team:

  • The system rotates notifications among team members
  • Each new task goes to the next person in rotation
  • Ensures no single person is overloaded
  • Tracks response history per member

How It Works

  1. Task assigned to "HVAC Team" (5 members)
  2. Member 1 gets the first notification
  3. Next task goes to Member 2, then Member 3, etc.
  4. After Member 5, rotation starts again at Member 1
  5. If a member doesn't respond, escalation rules apply

Claiming Tasks

Team members can claim tasks:

  • First responder marks the task as "In Progress"
  • Other team members see it's been claimed
  • Prevents duplicate work
  • Updates the assignment automatically

Escalation

If no team member responds within the SLA:

  • Escalate to team supervisor
  • Send reminder notifications
  • Reassign to a different team if needed
  • Log the escalation for review

Tips

  • Keep team sizes manageable (5-15 members)
  • Review rotation fairness regularly
  • Use performance data to identify training needs
  • Combine with SLA policies for accountability
