Bulk Assignment
Assigning to a Team
- Open a work order or issue
- Click Assign
- Select Assign to Team
- Choose the target team
- All team members receive notifications
Multiple Items
- Select multiple work orders or issues from the list
- Click Bulk Assign
- Choose a team or individual
- All selected items are assigned at once
Round-Robin Notifications
When a task is assigned to a team:
- The system rotates notifications among team members
- Each new task goes to the next person in rotation
- Ensures no single person is overloaded
- Tracks response history per member
How It Works
- Task assigned to "HVAC Team" (5 members)
- Member 1 gets the first notification
- Next task goes to Member 2, then Member 3, etc.
- After Member 5, rotation starts again at Member 1
- If a member doesn't respond, escalation rules apply
Claiming Tasks
Team members can claim tasks:
- First responder marks the task as "In Progress"
- Other team members see it's been claimed
- Prevents duplicate work
- Updates the assignment automatically
Escalation
If no team member responds within the SLA:
- Escalate to team supervisor
- Send reminder notifications
- Reassign to a different team if needed
- Log the escalation for review
Tips
- Keep team sizes manageable (5-15 members)
- Review rotation fairness regularly
- Use performance data to identify training needs
- Combine with SLA policies for accountability
