Scheduling Preventive Maintenance

Preventive Maintenance (PM) schedules ensure equipment is serviced regularly before breakdowns occur.

Creating a PM Schedule

  1. Go to Operations > Preventive Maintenance
  2. Click New PM Schedule
  3. Select the asset or equipment
  4. Set the frequency: daily, weekly, monthly, quarterly, yearly
  5. Define the checklist items for each service
  6. Assign responsible team or technician
  7. Set the start date and activate

Auto-Generated Work Orders

When a PM schedule is due:

  • A work order is automatically created
  • The assigned technician receives a notification
  • The checklist is attached to the work order
  • The technician completes each step and uploads evidence

Checklist Items

Each PM checklist can include:

  • Inspection items (visual check, measurement, test)
  • Maintenance tasks (clean, lubricate, replace filter)
  • Photo requirements for critical steps
  • Pass/fail criteria
  • Notes field for observations

WhatsApp Integration

Technicians can:

  • Receive PM reminders via WhatsApp
  • Complete checklist items by sending updates
  • Upload photos of completed maintenance
  • Report any issues found during PM

PM Compliance Tracking

  • Track completion rate across all PM schedules
  • View overdue PM items on the dashboard
  • Generate PM compliance reports for audits
  • Identify equipment with recurring PM failures

Usage-Based PM (Advanced)

For equipment tracked by meter readings:

  • Set PM triggers based on usage hours or cycles
  • Auto-generate work orders when threshold is reached
  • More accurate than time-based scheduling
