Reporting Issues

Quickly report and track issues that need attention.

What are Issues?

Issues are defects, breakdowns, complaints, or anything that requires fixing or attention.

Reporting Issues

From Dashboard

  1. Go to Operations > Issue Tracking
  2. Click "Report Issue"
  3. Fill in details:
    • Site
    • Item/Asset
    • Category
    • Description
    • Severity (Low/Medium/High/Critical)
  4. Upload evidence photos
  5. Click "Submit"

Via WhatsApp

Send a message describing the issue: "Aircon broken in Block A" [Attach photo]

The AI will detect:

  • It's an issue (not a work update)
  • Site: Block A
  • Item: Aircon
  • Severity: High

Tip: If you have more details or photos, include them in the same WhatsApp message, or send them right after so they stay in one record. Otherwise, they may create a new record.

Severity Levels

  • Critical: Immediate attention required (e.g., safety hazard)
  • High: Needs prompt response (e.g., equipment breakdown)
  • Medium: Standard priority
  • Low: Can wait, not critical

Issue Lifecycle

  1. New: Issue submitted
  2. Acknowledged: Team notified
  3. In Progress: Being worked on
  4. Resolved: Fixed and verified
  5. Closed: Completed

Notifications

Relevant stakeholders are notified:

  • Site managers
  • Assigned personnel
  • Organization managers

Tracking Issues

  • View all issues in dashboard
  • Filter by status, severity, site
  • Track resolution time
  • View issue history

Resolution

When issue is fixed:

  1. Update status to "Resolved"
  2. Add resolution notes
  3. Upload after photos
  4. Close the issue
