Reporting Problems

Quickly report and track issues that need attention.

What are Problems?

Problems are issues, defects, breakdowns, or anything that requires fixing or attention.

Reporting Problems

From Dashboard

  1. Go to Operations > Problems
  2. Click "Report Problem"
  3. Fill in details:
    • Location
    • Item/Asset
    • Category
    • Description
    • Priority (Low/Normal/Urgent)
  4. Upload evidence photos
  5. Click "Submit"

Via WhatsApp

Send a message describing the problem: "Aircon broken in Block A, urgent" [Attach photo]

The AI will detect:

  • It's a problem (not work update)
  • Location: Block A
  • Item: Aircon
  • Priority: Urgent

Tip: If you have more details or photos, include them in the same WhatsApp message, or send them immediately after—so they fall within the Photo Burst Window and get grouped together. Otherwise, they may create a new record.

Priority Levels

  • Urgent: Immediate attention required
  • Normal: Standard priority
  • Low: Can wait, not critical

Problem Lifecycle

  1. Reported: Problem submitted
  2. Acknowledged: Team notified
  3. In Progress: Being worked on
  4. Resolved: Fixed and verified
  5. Closed: Completed

Notifications

Relevant stakeholders are notified:

  • Location managers
  • Assigned personnel
  • Organization admins

Tracking Problems

  • View all problems in dashboard
  • Filter by status, priority, location
  • Track resolution time
  • View problem history

Resolution

When problem is fixed:

  1. Update status to "Resolved"
  2. Add resolution notes
  3. Upload after photos
  4. Close the problem
